Luxury Distribution Dropship is an application designed specifically for Shopify Store owners that allows store owners to sync products from the Luxury Distribution System to their store on Shopify.

Once products are synced to your Shopify store, orders which include items from LD inventory will be synced automatically. When an order is created, the Luxury Distribution Dropship application will sync the order over to the Luxury distribution system automatically. The Luxury distribution system will then process the orders, shipping them to the customers quickly, conveniently and Easily and will submit fulfillment info (Tracking) to your store automatically.

Important notes regarding cost of goods sold to the Merchant (Dropshipper)

All costs in the Application can be seen in our B2B live catalog at the following link https://api.luxury-distribution.com/shop , when you create an account with us, you are given credentials to use to login to your account, where you will be able to login and see your whole catalog, prices, seller insights page and merchant dashboard.

Disclaimer: All prices are none inclusive of VAT for orders destined to European countries, VAT will be added on your final invoice when the order is generated. Stores selling with destination in Europe, a VAT of 22% will be added to the cost of the items.

Value Added Tax (VAT) is a consumption tax that is applied to nearly all goods and services that are bought and sold for use or consumption in the EU.

The EU has standard rules on VAT, but these rules may be applied differently in each EU country. In most cases, you have to pay VAT on all goods and services at all stages of the supply chain including the sale to the final consumer. This includes from the beginning to the end of a production process, e.g. buying components, transport, assembly, provisions, packaging, insurance and shipping to the final consumer.

When is VAT charged?
For EU-based companies, VAT is chargeable on most sales and purchases of goods within the EU. In such cases, VAT is charged and due in the EU country where the goods are consumed by the final consumer. Likewise, VAT is charged on services at the time they are carried out in each EU country.

We should also point out the prices are not inclusive of Shipping, which is determined only after your order is received, based on quantity of items and destination, this page will provide a general guideline to our shipping prices, accepted shipping destinations. Your invoice from LD will include how much you were charged for shipping; the invoice will be sent after your order is shipped from our supplier.

Duties, Taxes for orders destined outside the European union

All our shipments are Duties and taxes not included, for orders destined outside the European union, your clients might receive information from DHL or the Courier used, about the obligation to pay duties and taxes, we can forward you this communication, if you want to settle this on behalf of your clients.

Please note that we do not offer any alternative to this, and we cannot cover the duties and taxes.

Install Luxury Distribution app

The Luxury Distribution application can be easily found and accessed on the Shopify App Store. https://apps.shopify.com/luxury-distribution

How to configure

Log in to your Shopify Admin, you can find the Luxury Distribution application under the Apps > Luxury Distribution section. When accessing the app, the screen will display the registration information

1. Sign up

On this registration page, the application’s information will be displayed.

Shopify URL: The current domain of the Shopify store, which is the primary store that Shopify has defined.

Username: The login username provided by the Luxury system.

Identifier: The information provided by the Luxury system.

Public Key: The public key information provided by the Luxury system

If you do not have an account with LD you can create one for your Shopify application on the following link https://api.luxury-distribution.com/shop/shopify-register

After approval you will be emailed your username, Identifier & public key.

After filling in all the information provided by the Luxury Distribution system, you can start by clicking ‘Sign Up’ so that the application can begin the verification process. If the information is correct, you will be redirected to the Brand Filter page to start the installation process.

1. On the Brand Filter page, you will need to select the brands whose products you want to synchronize from the Luxury system to your Shopify store, this action will start the queue to create all products in all categories from those brands on your store (please note you cannot for the moment modify what categories or products are synced by the app to the store). After selecting the desired brands, you can scroll down the page and click save to complete the brand product installation process.

After this process, you can proceed to configure the application settings

2. Settings

In the Configuration section, there will be 5 main configuration groups:

Brand Filter: Configure the product brands that will be synchronized to the Shopify store.

Category Mapping: Manually configure the mapping between the Luxury system
categories and the Shopify store collections or categories.

Attribute Mapping: Configure the attribute mapping between the Luxury system and the Shopify store.

Synchronization Setting: Configure the product data fields that will be synchronized to the Shopify store. Please note that by default all products are created with all details synced from LD to your shopify store, this is only so that if you choose to manually modify for example descriptions to make them SEO friendly, the application will not modify them (if you deselect the flag next to Description)

General Settings: The general configuration of the application, where you can set the language, currency, and other general settings.

2.1 Brand Filter

The Brand Filter page will display all the product brands that are currently available in the Luxury distribution system. You can easily select the brands whose products you want to synchronize from the Luxury system to your Shopify store. After selecting the desired brands, you can click the Save button to complete the brand configuration process.

It’s important to carefully select the product brands that need to be synchronized, as this will help the synchronization process run more efficiently. Avoid selecting and deselecting brands multiple times, as each of these actions will impact the synchronization queue from the Luxury system to the Shopify store. You can check the details of the synchronization queue in the Queue section below.

Please note we strongly advise after selecting brands from the Brand filter, you directly finish all other settings within 30 mins, as to avoid then creating other queues for any other changes (as our application will consider every change in settings as a new queue such as to change currency, or Mapping categories etc).

2.2 Category Mapping

The Category Mapping section allows you to manually synchronize the product categories from the Luxury system to the Shopify store categories. You can also set the Margin factor for the products in each category.

The detailed columns and actions are as follows:

The Category Mapping page will include a data mapping table.
The data mapping table will display the following information after adding the mappings:

Retailers Category: The list of categories from the Luxury Distribution system

Dropshipper Category: The list of categories from the Shopify store

Margin: The value that determines the price factor for the category, with a default value of 1

Action: Edit/Delete

The available actions are:

Add Mapping: Add a new category mapping configuration

Reset Mapping: Restore the default category mapping configuration

Save: Save the changes to the category mappings

Edit : Edit the category mapping

Delete : Remove the category mapping

The image below shows the result after adding a category mapping between the ‘Men > Accessories’ category in the Luxury system and the ‘My Lemon’ category in the Shopify store.

Please note that this action needs you to create a manual collection that corresponds to the collection from LD (Retailer) which you then need to select from your dropdown for Dropshipper category, this will result in the LD application mapping all products from this chosen Retailer category to the category you created using a manual collection, and in case you added margin it will add that margin to all products in that particular category, please note that margin is calculated in this way ( 10% margin on top of the cost from LD will look like this 1.1, 20% 1.2 , 30% 1.3 and so on, and can be increased or decreased using the up and down arrows or by typing it in)

Understanding how ‘Category Mapping’ works

‘Category Mapping’ is the process of matching Luxury Distribution’s main categories and subcategories of products with your Shopify Manual Collections. ‘Category Mapping’ is needed for importing Luxury Distribution’s products to your store in the correct categories. It allows setting up a mark-up (Margin) for each category of products you import. You can adjust it at any moment. To be able to start with the ‘Category Mapping’, it’s necessary to create ‘Manual Collections’ in your Shopify store upfront so that they are visible in the “Drop-shipping Categories” section.

The app’s category mapping functionality has been improved for greater accuracy and ease of use. We remind you to check that all 73 categories are mapped to avoid items being published without an added margin. This ensures that products are correctly classified, and margins are applied as intended.

For example, suppose you’re selling women’s accessories. In that case, you can create one main ‘Manual Collection’ for all accessories named ‘Women’s Accessories’ and map it with Luxury Distribution’s ‘Women’s Accessories’ category.

You can later use Automatic collections with any tags to create all kinds of collections, so the main benefit of the mapping of categories is to enable you to apply different margins to different categories of products

Creating ‘Automated Collections’

You can create different ‘Automated Collections’ once you’ve created your main ‘Manual Collections’ and mapped them with Luxury Distribution’s product categories and subcategories. Creating ‘Automated Collections’ can help you filter your collections based on diverse filter tags like , ‘Product Vendor’ Brand, Sub Category, Gender etc.

The Luxury Distribution App automatically creates tags that can enable you to better filter your collections and create different ‘Automated Collections’ after the mapping of your main ’Manual Collections’ with Luxury Distribution’s categories and subcategories

When the application synchronizes products from the Luxury distribution system to the Shopify store, it will save the product values into the Product Vendor, Product Type, and Product Tags attributes. This makes it easy to filter products when creating Collections in your Shopify store. Here is an illustrative example you can follow:

-best_seller gives you an automatic list of our worldwide best sellers based on historical sales data over the past period

-discount_above_60 gives you a list of all products with high discount above 60% off updated automatically

-high_inventory gives you a list of all products with high amount of pieces and available sizes updated automatically, which is particularly useful when doing advertising campaigns to help you convert better

To assign a high_inventory tag to stocks, we use the following conditions:

. Bags must have a quantity of 15

. Shoes must have 5 variants and a total quantity of 15 in all variants combined

. Clothing must have 3 variants and a quantity of 15 in all variants combined

-Yes Eu (Allowed to be shipped in the European Union), No Eu (Not Allowed to be shipped in the European Union) tags allow you to know which products are not allowed to be shipped to the EU so you can easily create a collection for them so that you can block them from being ordered if the destination of the order is inside the EU

– LDin If you have multiple suppliers and want to filter out only LD stock, the LD inventory tag can help you do Just that

– New In Our catalog is live and constantly changing, to keep up with latest additions to the catalog, our system will populate for you all products added this month with the New In tag

Below you can find the Main LD Categories So you Can replicate them with Manual collections on your shopify store (Copy and paste the titles), another alternative will be to map all the categories from LD with one Manual Collection Named for example ‘All Products’ as with example below.

2.3. Attribute Mapping

The application also provides a feature that allows users to map attributes from the Luxury system to the attributes of Shopify. Currently, the Luxury system only has a single attribute, ‘Size’, that needs to be mapped. Application users can modify the mapping of options when selected.

When selecting the options mapping, users can change the corresponding option values from the Luxury system. If left blank, the options on the Shopify store will be the same as the ones from the Luxury system.

Here is an example of changing the option mapping:

After filling in the corresponding option mappings, click ‘Save’ to save the option mapping information.

Additionally, a green dot indicator now shows which attributes are mapped, making it easier to track the mapping progress. If an option is left blank, the Shopify store will inherit the values from the Luxury system.

2.4. Synchronization Setting

The Synchronization Settings allow the application users to select which product data fields are allowed to be synchronized to the products on the Shopify store. By default, all the fields will be synchronized when a product is first synchronized and created on the Shopify store. If you don’t want to update (overwrite) the price, title, or SKU, Description from the Luxury distribution system, you should deselect these data field options. The application will then not synchronize those fields for subsequent updates (Allowing you to modify them without being overwritten).

Please note that If you uncheck Price SyncingThe Cost always syncs to the Cost Field on Product information and is not related to price settings.

– You can change the metafields that are not created by LD app. To check which metafields are created by the LD app, you can go to Setting -> Custom data -> Metafield definitions -> Products. The metafields created by LD app will have a description as Follows : This Metafield is Created by Luxury App. Here are the metafields created by LD App. ( Year, Color Detail, Made In, Material, Size Info, Size and Fit, Season One, Season Two ).

– SKU must be synced when creating product. When updating product, if you do not want sku to be overwritten, you can unselect sku in sync setting page.

2.5. General Setting

The General Settings allow the application users to configure the language, currency, and price rounding style.
Language: The language of the application. By default, the application only supports the English language.
Currency: The default currency is Euro, but the configuration settings will allow the application users to select the currency they want to use for conversion. The application supports over 100 different currencies with varying exchange rates.
Price Rounding: This setting defines the rounding behavior for product prices.
– Not to round: The product price will be the same as the price in the Luxury system.
– XXXX.00 up: The product price will be set as a decimal and rounded up. – XXX9.00: The price will be rounded up to the nearest whole number.
Delete Out of Stock Items: This option is selected by default when the application is first set up, to avoid synchronizing out-of-stock products from the Luxury system. When this option is enabled, any out-of-stock products will be deleted from the Shopify store.

New Products As Draft: When this option is enabled, all newly imported products will be imported as draft products, not visible on the site. The status will need to be changed manually after importing such products.

Include Brand To Product Name: This flag determines whether the product name should include the brand name. Note that the maximum length of the product name for your store is 255 characters, so the name may be cut off if it’s too long.

Access Token: This field stores the access token for the Shopify store. Clear Data Button: This action will stop any running queues and delete all products that have been synchronized to the Shopify store. This feature is only used if you want to stop using the Luxury application and delete all the products from the Luxury system.

Note that after confirming, the application will need some time to delete the products from Shopify, and the time required will depend heavily on the number of products that have been synchronized.

3. Dashboard

Once the installation of the configurations is complete, this dashboard page will display information about the queue, the total number of products that have been synchronized to Shopify.
Queue Information:
Create: The number of items waiting in the queue to be created on Shopify.
Update: The number of items in the queue waiting to be updated on the Shopify products.
Delete: The number of items in the queue waiting to be deleted from Shopify.
Total Products: The total number of products that have been successfully created on the Shopify side.
Note: The queue processes 10 records per minute, corresponding to 10 products that will be created, updated, or deleted.
If the Shopify store is using the basic plan, please note the limit of 50,000 product variants. After this threshold is reached, no more than 1,000 new variants can be created per day.

4. Orders

When a customer purchases a product from the Shopify store that was created by the Luxury system, the order will be automatically created in the Luxury application and recorded in the Luxury system. You can easily see: Retailer Order ID: The order number on the Luxury system. Dropshipper Order ID: The order number on the Shopify side. Successful: The status of the order. Created: The time the order was created on the application.

Orders are now synced to the LD system even if payment has not been captured. This change helps avoid unnecessary payment processing fees, particularly in cases where an order may fail due to item availability issues.

This policy is in place to protect our brand partnerships, ensure price consistency, and maintain the premium reputation of the products. Selling on these platforms may result in account termination. You may continue selling through your Shopify store or other approved channels.
